ServicesResident Income Verification

Resident Income Verification in Miramar

Every set-aside unit in a Live Local Act property needs proof that its residents qualify. We collect the source documents, calculate annual income against the current limits for family size, and build a file for each unit that can stand up to review. Then we check back to keep it current.

Why each unit's income file matters

Tax relief under the Live Local Act is figured one unit at a time. A unit qualifies only when the people living in it earn no more than the tier it is claimed under, 80 percent or 120 percent of area median income, and its rent stays inside the published limit. A file that is thin, out of date or miscalculated can knock that unit out, along with the savings attached to it.

Most problems we see are not fraud. They come from small errors: a pay stub annualized with the wrong pay frequency, overtime left out, a second occupant's income never collected, or a limit chart from the prior year. We fix those at the source by verifying each figure against a document and noting where it came from.

This work feeds directly into your FHFC certification filing and your County DR-504AFH filing, and it is the base for annual recertification.

What the work includes

Document collection checklist

We give your leasing staff a checklist by income type: wages, self-employment, Social Security, pensions, child support and asset income. Each resident gets the same list, so nothing depends on memory.

Income calculation and annualizing

We convert every income source to an annual figure using its actual pay frequency. Weekly, biweekly and semimonthly pay produce different totals, and mixing them up is the most common error we correct.

Comparison to current limits

We test each unit's total income against the current limit for the number of occupants and the tier claimed. Limits change each year, so we confirm which chart applies to the move-in or recertification date.

Rent limit check

Income is half the test. We confirm the contract rent for each unit sits at or below the limit for its bedroom count, since an overcharged unit fails even when the residents qualify.

Unit-level file assembly

Each unit gets a file with the signed income certification, the source documents, our calculation worksheet and a note on any judgment call. A reviewer can trace every number back to paper.

Follow-up and file care

After the files are built, we check back with your team and walk through how to keep them current: what to collect at lease renewal, when a mid-lease change matters and how to log it.

Signs your income files need attention

  • Files built by different people

When several leasing agents certified residents over time, methods drift. One annualizes overtime, another skips it. Inconsistency is what reviewers notice first.

  • Missing documents for some occupants

If an adult on the lease has no income documentation and no signed statement of zero income, that unit's qualification is open to question.

  • Unsure which limit year was used

If nobody can say which year's income chart a certification relied on, the calculation cannot be defended. We re-run it against the correct chart.

  • Your exemption filing is coming up

The FHFC certification and the county application both depend on knowing how many units truly qualify. Verifying first prevents claiming units you cannot support.

  • Turnover since the last review

Every new move-in into a set-aside unit needs its own certification. A busy leasing season can leave several units uncertified.

How a verification engagement runs

  1. 1

    Free review by phone

We start with a call to learn the unit count, the tiers you are claiming and how files are kept now. You get a free eligibility check of where the property stands before any work begins.

  2. 2

    File audit

Your team shares the existing files at our office or over a secure video session. We log each unit as complete, incomplete or miscalculated, with the specific gap noted.

  3. 3

    Collection and calculation

We send targeted requests for missing documents, then calculate income and test rent for every unit. Units that do not qualify are flagged so they are not claimed.

  4. 4

    Delivery and walkthrough

You receive the finished files and a summary count of qualifying units by tier. We review the results with you by phone or video and explain each flag.

  5. 5

    Check-back

We follow up after delivery to confirm the files are being maintained, answer questions from leasing staff and catch new move-ins before they pile up.

What moves the cost

We price income verification after the free review, once we know the condition of your current files. You get the scope in plain terms before work starts, and the free savings estimate shows what the qualifying units are worth in tax savings.

Number of set-aside units
Each unit is its own file. A property with a large set-aside simply has more files to build and check.
Condition of existing files
Complete, consistent files need confirmation. Missing documents and recalculations take longer.
Income complexity
Salaried residents with one employer are simple. Self-employment, multiple jobs, tips and asset income each need extra documentation and judgment.
Timing against filing dates
Work started well ahead of the certification and county deadlines can be paced. A compressed schedule takes more hours in a shorter window.

Questions about resident income verification

Something not covered here? (954) 519-7567

Do residents have to be recertified every year?

The exemption is renewed each year, and the units claimed need to keep qualifying. We handle that cycle under annual recertification, which builds on the files created here. Starting with clean files makes each later year much faster.

What happens if a resident's income rises above the limit?

That unit may no longer count toward the exemption for the tier it was claimed under. We flag it, explain the options for how it is reported, and adjust the qualifying count so the filing stays accurate.

Do you contact residents directly?

Usually your leasing staff collects documents, since they already have the relationship. We provide the checklist and request language, then review what comes back. If you prefer, we can talk through a hard case with your staff by phone.

Which property owners rely on you for this?

Coral Rock Development Group and Terra Group are among the owners we serve. On your free review call, we can explain how we set up unit files for a property of your size and unit mix.

Is a building in a nearby city handled any differently?

Not in how the files are built. Audits and walkthroughs already happen at our office or over a video session, so a property in Pembroke Pines, Hialeah or Weston follows the same steps as one in Miramar. What can change is which county property appraiser receives the exemption paperwork, and we sort that out on the first call.
